Tight Deadline: Development began in April, with a hard deadline in August, leaving just a few months to complete the project. The MVP requirements had to be finalized, tested, and pre-loaded onto Android devices at least three weeks before the convention. 

Document Management and Security: The app required a backend administrative UI where SMART’s staff could upload amendments, control document versioning, and schedule document publishing. It also needed to alert delegates when new amendments were available and ensure that all documents were accessible only during the convention and sequestered afterward.

Offline Functionality: While delegates were on the convention floor, internet access was restricted. The app needed to function fully offline, allowing delegates to access documents, amendments, and updates without requiring an active internet connection. 

Real-Time Updates: When delegates were in their hotel rooms or in designated Wi-Fi areas, the app needed to prompt users to download updates or check for over-the-air (OTA) app updates. A live-updated convention map and agenda were also crucial for keeping delegates informed. 

Scalability and Performance: The app had to withstand high traffic, with over 1,500 users potentially downloading documents simultaneously. This required careful attention to ensuring the application could handle high-volume traffic without performance degradation. 

Zero Margin for Error: The app’s performance would be under scrutiny from SMART’s international leadership, with no room for major errors or delays, as the convention was a high-visibility event within the organization. Given the short duration of the convention, any significant issues would have been too problematic to address on-site. 

Administrative Dashboard: Cadensoft developed a web-based administrative UI for SMART’s on-site staff to upload documents, manage versions, schedule publishing dates, and add notes. This ensured that amendments could be uploaded in real time during the convention week. 

Seamless Document Delivery: Once a document was uploaded, the app automatically alerted delegates and prompted them to download new amendments for review. The app maintained an organized list of amendments with versioning and timestamps, ensuring delegates always had access to the most current information.

Offline Functionality: To accommodate the lack of internet access on the convention floor, Cadensoft ensured the app could store documents locally on the devices. Delegates could download updated materials from their hotel rooms or Wi-Fi-enabled areas, and all functionality worked seamlessly in offline mode. 

Over-the-Air Updates: The app was designed to prompt delegates to install updates when new versions of the application or amendments were published. This was critical for ensuring delegates had the latest features and documents available without manual intervention.

Resilient Performance: The app was engineered to handle the simultaneous activity of 1,500+ delegates downloading amendments and updates without performance issues. This ensured uninterrupted access to essential documents during peak periods.

Security: The app featured robust security measures, ensuring that sensitive documents were fully accessible only during the convention. Afterward, all documents were sequestered and no longer available to delegates.
